Guide to Indian Passport Renewal/ Re-issue – Documents, Process

Applying for Indian passport used to be a complicated process in the past and mostly done with the help of agents. But, things have changed in past few years with good process and technology. You do not need an agent anymore and can do it everything on your own. We cover the entire process end to end and also have user experiences too.

Indian Passport Renewal vs Re-Issue

“Renewal and Re-issue are used interchangeably by many. But, there is subtle difference. The term renewal is used, if you have a passport with Short Validity Passport (SVP) and you are applying for extending the same. In that case, you will still be getting a new book. Unlike, Re-issue relates to exhaustion of pages or passport reaching the end of 10 year validity. The term renewal and re-issue are used interchangeably in the below article for easy understanding. The process is same, so nothing to worry.

When can you Renew or Re-issue Indian Passport ?

You can renew or re-issue your Indian passport up to 1 year before the expiration of the passport. If you are a student, you can get re-issue of your passport within two years of expiry by selecting reason ” Validity expired within 3 years/ Due to expire”. You can also renew or get re-issue of passport, if you meet any of the below :

  • Your personal details changed like name, martial status, etc.
  • Your passport expired already within last 3 years or before
  • Your passport pages are completely full and no pages left
  • Your passport is damaged or you lost the same.

Passport Document Advisor : Indian Passport Website has a document advisor, that clearly tells the required documents, you should enter your details, to get the list of documents required before you begin to process, so that you do not end up in panic after registering. You can access it at Passport India Document Advisor

Below is the step by step guide to get Indian Passport re-issue or renewed.

Step 1 :  Register Online Account at Passport Website

Since the paper based forms are eliminated, you need to fill Indian passport application online. Below are the details.

  • The very first step is to register yourself with the Passport Website. All you need to do is go to Passport Seva Website and click on ” New User Registration”.
  • You will be asked to fill basic details and email ID. This will be used to login and fill the passport application form. You can choose the passport office based on where you currently live now.
  • The second thing is to activate your account using the email you get and login.
  • After you login, you will see an option called “Apply for Fresh Passport/Re-issue of Passport”.  Click on that and enter details.
  • Can Submit Passport Application Anywhere : Since June 2018, as per new guidance, you can apply for passport anywhere in India. You do not have to do it in the same state of your residence. There is a dropdown in the account creation page, you are free to choose the location where you are

Step 2 :  Fill Passport Application Online

After you activate your account and login, you will be presented with two options to fill out application form, the online system will show as Alternative 1 and Alternative 2 . It does not matter what you use, both work the same.

  • Alternative 1  : Using Online form to fill the application online. You will need internet.
  • Alternative 2 : Using PDF form. You download the form, fill it out and then upload it.

The recommended option is to use the Alternative 2 with PDF form as some details may not be readily available with us and we have to save info, etc. I also prefer the PDF form option as it is very detailed and clear. Either case, it is the same. You will need the below details to complete the form.

  • Your current address details and other details that are already in your previous passport.
  • You need to enter Emergency Contact Details like Name, phone number and email.
  • If you are changing any details like adding Spouse info, their info as per document

If you are using the PDF form option, you will need to fill all the mandatory fill and then hit validate and Save, it will ask you to save a file (XML file) and give it a name.

You need to upload that file in the section where you just downloaded the PDF form. All the details will be automatically created, you need to verify before saving as you cannot change the details after this step. Of course, you can change them when you are at passport office, if anything wrong.

Step 3 :   Pay and Book a Slot or Walk –in, Print Application Receipt :

Once your application is created, next step is to check for available slots and then pay for it.  There is an option on the website home page to check the slots as well or you can go to Check Appointment Availability. Anyways, once your application is submitted. you need to select it, for that see below.

  • You will have an option on the left saying ” View Saved / Submitted Applications “.  Select the application by clicking on radio button. Then you will show options with links to them. You need to click on Pay and Schedule Appointment.
  • This will give option for payment, either online or pay with challan. Usually, it is easy to do it online way. Selected Online Payment
  • Then you will have option to select the Passport Service Kendra and the time slot. It will show the available time slots options.
  • You can select the same and then you will go for payment page. Where you can select your payment option. I used NetBanking and it was seamless.

If you are eligible for walk-in, you can cancel the appointment and then carry that cancellation page, along with the payment receipt page, you will be allowed to walk-in directly during the respective hours.

Once payment is complete, you will have to print the application receipt and carry that with you on the appointment day. It will have a bar code as well, ensure that is clearly printed and it has the payment confirmation info on it. If you find something wrong in the details, make a note, then you can tell the same at passport service kendra.

Step 4 : Documents List for Passport Re-issue or Renewal

You have a nice step by step guide to help you identify the list of documents that you need for your passport renewal. If you go to the home page and click on Document Advisor for renewal / re-issue , you will get a form to select options. Based on options it will show the list of documents that you need.  These are the documents you will need. NO Additional documents are required. In fact, I called the customer support as well and they said the same list and my experience at Passport Seva Kendra says the same.  You do NOT require additional documents.  Do NOT listen to others.

Indian Passport Renewal Documents Checklist

Below are the typical documents that you need to carry to the passport office, depending on your situation.

  •  You must print out the online form that you printed out with the Application Reference number ( ARN ) and carry with you. It is mandatory to have this document with you.
  • Original Old Passport that is expiring or expired
  • Same Address as in your Old Passport :
    • You do NOT need anything other than photo copy of your passport first page, last page and the page with ECNR info. You will do self-attestation ( your own signature)
    • You may carry current address proof like a utility bill or Bank statement or Voter card, etc… see below for some of those documents.
  • Change in Address – Different one from your Old passport address
    • Just like above,  first, last and ECNR page photo copy with self attestation
    • Address proof of change in address – Any one of the below is acceptable.
      • Any one of the  Utility bills like Water, Telephone, Electricity Bills –  You need at least for 2 months  of which one should be of current year and other should be of previous year.
      • Proof of gas connection. If you are submitting utility gas bill, PSK will ask for two of those from past two months. Make sure you carry two of them. This was shared by our reader Karthik.
      • Ration Card with address .
      • Bank Statement  for 1 year, Passbook of the bank account with address on it.
      • Any of the cards like Aadhar card, Voter ID, etc.
  • Add Spouse Name, Change
    • If you would like to add your spouse name, carry original and photo copy of your marriage certificate. It is required. You need a photo copy that needs to be self attested.
    • If you plan to change any details like names, etc, you need to carry original with photo copy signed by you.

There may be other set of documents that you may be asked from the website, if some exceptions for your case. That’s why always check passportwebsite.

Step 5 :  Go to Passport Office (PSK) for Appointment

If you have got a slot, go at that exact time or 15 min before, no need to go there and wait outside.  If you are eligible for walk in, you can do that.  The process at PSK is very straightforward and they have clear steps for the process. For process at PSK, read Process at a Passport Seva Kendra and some key pointers .

Indian Passport Renewal Experiences

Below are real experiences shared by our readers A G Bhat,  in Bangalore and Mrinal from Mumbai. Thanks to them for sharing his experience. Also, we have many other experiences in the comments, do check them out.

Passport Re-issue Experience at Mumbai

I had my Indian Passport renewal today in Mumbai(Andheri PSK) as my passport was expiring within 1yr. Got appointment for 9.15AM IST and was asked to report at 9am. (Under Regular processing) . Process was very smooth and straightforward and I was complete in 1hr time (primarily due to preparation and early slot).

Passport Re-issue Process at Mumbai

1. I had actually downloaded the PDF first and filled it and kept so that any trials errors needed were done on that.
2. I was having minor difficulty uploading it probably because i renamed etc. However I used the filled PDF as entry for Online application (Which also can be saved and filled over multiple attempts like for any college /visa application).
3. The form was submitted.
4. I have just moved back from US so I wrote my current Indian address which was also in my Aadhaar card . Mentioned US address for previous in last 1yr stay without state or county.
5. I had even uploaded PDF copy of all documents though not sure if it was any help today.
6. Paid online and booked appointment

Documents Required On Passport Appointment Day

1. Originals: Passport(old), Aadhaar (both top and bottom part: for Address proof and ECNR), 10th Marks card (for ECNR)
2. Copy of first 2 pages, last 2 pages and Page number 2 of passport which would either not mention anything or ECR. ( I had not taken page 2 and was asked to take photocopy at Passport Seva Kendra)
3. Copy of 10th marks card and Aadhar both top and bottom part. ( Had not taken copy of top part and had to take at PSK.)

Process at PSK for Passport Re-issue

At the PSK try to reach early for your reporting time. The entry is not based on sequence number assigned but based on your arrival for your reporting time. Once you enter, the originals, photocopy and application receipt are checked once and after all documents are confirmed you are asked to wait till they generate token number. After token number is generated you are asked to go inside and wait for 1st step in A counter.

At the A counter documents are scanned, photo taken, biometrics verified and signatures taken. Also they check if you want to enroll in Mobile Seva(Sms updates for Rs 40). If yes you pay in cash exact amount. Once done you are asked to goto B counter.

At B Verification Officer (VO) validates the entries again and puts his ticks & sign in the application. Once B is complete, one proceeds to C counter for Granting Officers approval who again verifies documents and stamps both the old passport ( Cancel & returned) and approval stamp for application,

Once that is done you are asked to proceed to exit counter where you are given acknowledgement receipt and asked to fill feedback form. The acknowledgement ideally mentions your passport approved post police verification.

Passport Renewal Experience  at Bangalore

My passport had expired three months back. I read the articles in this site and understood the procedure to be followed. After understanding the same clearly, I applied online and selected the slot at Bengaluru (Lalbhag) PSK. I applied on a Saturday and slot was available for very next Monday. However, I opted for a slot on Wednesday which I got. So there was no necessity for me to cancel the same and go for “walk in”. On Wednesday, my time was at 10.45 AM and I went there exactly at 10.30AM.

The process at PSK was exactly the same the Hyderabad PSK explained in this site. Courteous people, proper guidance at every stage, no confusion at all and no hassles. After successfully finishing the entire process I came out from PSK at 11.15AM, in just 30 minutes for whole process. I gave my feedback as “Excellent” for the service but I feel that this is too less a grade. World class experience indeed. Thanks to the vision of the External Affairs Department of Govt of India. And my thanks to all concerned, from Prime Minister and External Affairs Minister to TCS and every one in the PSK.

Along with my wife also had applied for re issue of her Passport. We both selected the same slot and went inside together and we both came out together. She could not believe that such things can happen in our country.

I applied for passport re-issue on 2nd March 2018. It was Normal (No Tatkal), I was asked to go to exit from counter B (no need to go to counter C). When I check my application status online, it says “Passport application is under review at Regional Passport Office”. They stamped ‘Cancelled’ on my old passport .
I have opted for Address change and Addition of spouse name. When i spoke to Passport customer care they are suggesting to discuss directly with RPO, Kormangala branch Bangalore. But iam not able to reach them on phone, No one is responding tried to reach them multiple times. but no response from them.
Its been more than 2 weeks . Should i need to visit RPO, Koramangala office directly and check the status ?

  2. Hi,

My passport expires in 2022. I want to increase its validity for further 10 years (until 2032). Can that be done now? So far what I have learnt is that we can apply for re-issue only within a year of expiry.
I recently got accepted for PhD studies in a US university. I have to start my visa application. I was reading about the application procedure and at one place I found following mentioned about the valid passport–
“A passport valid for travel to the United States and with a validity date at least six months beyond your intended period of stay in the United States.”
So my intended period of stay would be until 2024 and passport expires in 2022. I am confused what to do. Please help.

    • Deepak,
You cannot get passport re-issued or renewed now, as it expires only in 2022. You can only apply 1 year before expiry, unless there is change in the details. What they usually mean 6 months validity is from the date you enter US. You can apply for re-issue in US, when you are studying PhD.

When I check my application status online, it says “Passport application is under review at Regional Passport Office”. They stamped ‘Cancelled’ on my passport and said it will take 2-3 weeks. No, no update. Its stuck at ‘under review at RPO’ for last ten days. I tried to book appointment at the RPO as well but they are not accepting any appointment before 26th. I have to travel on April 1st to USA and my old passport is already stamped ‘cancelled’ and I have no clue now what to do!

        • Oh. We all did mistake in applying in normal rather than in Tatkal believing that normal happens within a week as it used be. Better you walkin to RPO directly soon.

    1. When applying for passport I gave my full name (surname+given name) in the given name column in the application so now I don’t have my surname in my passport. How can i get it changed?
    2. I gave birth certificate as proof for date of birth and parents details in which my mother’s name is misspelt and in my passport i got her misspelt name. Her name is correctly spelt in all other documents. Can I get her name changed ?
Finally I want to know that if I apply for reissue of passport will I get back my old passport with a cancelled stamp on it?
I have applied for Sweden universities for doing masters. I have used my current passport as Identity proof. So if i get my changes done and receive a new passport with all the correct details will I have any proof stating that my details have been changed from XYZ to ABC? If I got back my old passport then I don’t require any proof but I won’t get my old passport then how can I get the proof?
    Please help me!!

    Reply
    • 1. You need to go for passport re-issue with name change.
      2. Yes, you can try sharing that proof and request change or better is to fix your birth certificate and use the same to avoid issues as that is a primary document.

Yes, you get it right away.

You do not need any proof, your details were wrong on old passport. You can always support birth certificate, if needed. You can say that the passport got with wrong info, so got new passport.

  13. Hello,

My wife wants to renew her PP with no changes to any details as her passport is expiring within two months. That essentially means the new PP will be exactly same as the old PP in terms of all the details filled. If that is the case, will she still have to go through police verification even if last time she got police verification done for the same address for the old PP?

    Reply
    • Sid, Usually PP renewal or re-issue does not always go through police verification, if not many details have changed. It totally depends on the case by case basis and the discretion of the passport officer.

    • Megha,
You will very likely be asked for Aadhar as it is kind of mandatory document, if you are doing re-issue in India. The good thing is that you can get Aadhar in around 60 days or less. As you are in India, just apply for it and then you can apply for Passport Re-issue before you leave. Read article Passport Renewal for NRIs in India

  16. Hi,
I renew my passport in 2011. The new passport after the renewal has place of birth as XX which is a clerical mistake and it should be YY (the first passport was having YY). Both XX and YY district is in the same state. Now i want to correct the place of birth. My first passport issued in 2001 and at that time birth certificate is not mandatory. I was submitted my high school marksheet for DOB.

    1. I didn’t provide any proof to change my place of birth as XX. This is a clerical mistake. How can i correct the birth of place in case of renewal?
    2. My first passport was having the correct place of birth. Using that passport can i change my place of birth as i didn’t have birth certificate currently?

    Reply
    • Ravi,
Well, the question they may ask is, why you did not correct it, if it was a mistake. Nevertheless, you need to provide current required documents. Past documents you shoowed does not matter, what is required is what they ask for it.
      1. You need to give them the birth certificate. That’s the better way to fix it. You can ask PSK, if there are alternatives, but I doubt, if there are alternatives now.
      2. Yes, you can try showing that info. But, again they would ask for current proof. because, the system will ask for proof to support that change and your data from 2001 is over 10 years and they may or may not have all info at hand.

    Need a urgent suggestion!
My husband had applied for reissuance of his passport due to exhaustion of pages.
Appointment was on 27th Dec in Thane PSK, and was asked to come on 9th Jan for police verification.
Now he has cleared the verification and done with all the procedure..but now he is upset as he didn’t get the SMS.
I don know much about the procedures but he said he should receive SMS from SP office first and then regarding passport printing.
His UAE visa is going to expire on 20th Jan. N for visa renewal suppose to be present there before the date.
How long it would take to get the passport after clearing PV?
What are the procedures in between?
Can anyone suggest any other ideas to get the passport within five days? Is it possible?

  24. Hi Mr Kumar
As per discussions we had, I had visited PSK, Mundwa, Pune on 9/01/18 as per the appointment fixed by the authorities.
To my surprise I was out of the PSK building in less than 40 minutes after completing all the formalities and if that is not enough, Just now today, on 13/01/18 at 2 pm the passport has been delivered to me.
I salute to the officials ( Govt Machinery ) for such wonderful service which is unheard of in our country.

As far as the Passport issuing authorities are concerned, yes they are doing a wonderful job and need to be appreciated however they are public servants and are paid for it.
In case of my friend Mr KUMAR, who is rendering services without and returns. It was really, wonderful consulting you for guidance, sometimes repeatedly to know what comes next or where we need caution. I must say that your reaction to our repeated requests too, has been very consoling and I appreciate the gesture from the heart. Thank you Mr Kumar for everything from start to finish in connection with Passport issues.
    Thanks once again.

Only one thing carry the required documents like address proof ,Date of Birth Proof and Aadhar copy ,Marriage certificate ,Telephone Bill,Bank statement etc., Check your self in the system and also print given also check .Make use of the SMS service by paying Rs.45 Rupees it is very useful to track .The data will flow the same day to the Police station .You can contact the concerned police station with all documents along with 2 pass port photos instead of they contact you there after they will visit for verification at your residence .The Yeswanthpur Police station service is very good and responded .Make sure your all documents are perfectly in order
one year address proof is a must in the current address
The process and response of the Passport office and their support which I have experienced is excellent
The system put in place for the issue of passport is really we can appreciate .
This is my personal experience .Who ever do good job we have to appreciate .

  27. Hi

Thank you for taking the time out to answering questions here.
I applied for a re-issue of passport, and I had my appointment at PSK on 20th December, 2017. Everything went by smoothly, but I haven’t received my passport yet.
On the application status page of the passport.gov.in website, the following is shown as the status: “Passport application has been submitted along with applicable fees and supporting documents”
I applied in the normal (Not tatkal) mode.

Do I need to apply for a police verification or something else? Or should I just wait a few more days for the passport to come? By when can I expect to receive my passport?

  28. Hi Mr Kumar

In the process of applying for reissue/renewal of my passport, I had opened a page from Passport portal. Due to some obvious reasons i could not submit the form within a stipulated period of 3 months and the page has locked.
Now for reopening the page I am asked to change password, having done so number of times however every time the error code says ” your ID and Date of birth do not match, re-enter the information and on every reentry it keeps on repeating the same error code.
Kindly help. I have tried re-registration and it was accepted and further says this mail ID exists however while login the same error repeats again and again.

    • Ashok,
Maybe it is a system error. You can call the customer service to get it fixed or you can create a new account with a different Mail ID and process from there.

  29. Hi Friends,

Need urgent information on stamping details with the reissue of passport .

to be precise , I have applied for re-issue of passport to add the spouse details in my new passport in 2014 . I got my new passport and the old passport which has validity till 2020 was stamped as ‘Extended with the issue of new booklet ‘ .

Now when I have recently applied for Business Visa to Ireland country , the embassy is asking for the cancellation stamp on my old passport . Does anyone has ‘cancelled stamp’ on their old passport or faced this scenario with the embassy .when contacted the RPO HYD office they denied of giving the cancelled stamp on my old passport .

Kindly help me in what steps to be done .

    Thanks

In one of my friends case, when they got a new passport, they did put a CANCELLED Stamp and cut one of the corners where the photo is. This passport re-issue was done in Singapore and not in India. You can ask for it again.

        • That’s great. Happy to hear. Did you take any appointment ? How did it work ? Can you share your experience so that others can benefit out of it.

          • Sure.. I have been to the rpo hyd office for the first time and when requested for cancelled stamp for they have denied directly and dint gave me token for enquiry.

When I went for second time , I requested to meet the officials to get confirmation on cancelled stamp and asked for some official declaration. Then they have requested to contact the policy team and after discussion about the request , they simply gave the cancelled stamp on my old passport .

It’s patience and time which works at government office .

    • Malkit Singh,
Usually, even if one of the parents are not available and abroad, passport office asks for Sworn affidavit. I am assuming, you will probably need the same. In general, the process is that you will need to get a sworn affidavit from their parents and Annexure-D signed by them originals. You will also need to sign on Annexure D as guardian and take it to passport office for renewal/re-issue. You can check with passport office for more clarity.

    • Raj,
I am not getting what you mean. If your passport is expired, go to Indian Embassy, if you are in London and ask for process to renew/ re-issue the passport. It should be very straight forward.
If you are already in India, you can follow the above process.

  35. Hi,

Me and my husband are applying for renewal of my passport along with addition of spouse name. Now, I have not got my maiden name changed in any of my documents and neither plan to do the same. Is it possible to add my maiden name in my husband’s passport even if my marriage certificate has my name with my husband’s surname? Please help

    • mona,
In general, it should be possible to add your original name as it stands on your passport in your spouse’s passport. In fact, my spouse’s name was never changed and I have it on mine as it stands on all of her original documents. If you can, you should fix your marriage certificate to have your original maiden name so that it is consistent across everything.

  36. Hi, Thank you for the guide! My question : Is class 10th marksheet necessary while passport reissue. My current passport will expire in next 6 months and i seem to have lost class 10th marksheet.

    • Rajshree,
They may not ask your 10th class marksheet. If Aadhar was not added previously, you will asked for it and also your current address proof. You can always check using the document advisor to get more clarity.

  37. Hi,
I’m having a small query about the passport issue. In 2015 i had applied for the student visa to canada and unfortunately it got rejected and I’m now willing to apply for austrailia , and but there is a problem, that in my passport before the canadian rejection i took the police clearence certificate(PCC) stamped in my passport stating that it is for canada .When applying for this Austrailian visa the PCC would be the issue.
And my question is, can i get a new passport with new passport number and nothing stamped , and is the reissue of passport the answer for this ???
    Please do help !!!

    Thank you

    • Alvin,
I do not think you should be getting a new passport just for the sake of such things. It can be considered fraud, if you are trying to do such things to hide something. I do not think your previous history has any impact. It is different country and should not matter.

  39. Thanks for your narrating your experience. This would be useful for people who would be worried about the procedure. Our experience with most Govt. offices is that one would be sent back asking for some document or the other, however, careful one would have been.

Recently I went to Lalbagh road, PPSK for renewal/ reissue of PP. Very good system and generally helpful people. But although I had applied on line for Tatkal, I was asked go around from table to table to APO, who told me that I need a Class I officer’s (Group A) attestation as my PP was issued outside India. I was not aware of this requirement as it was not mentioned specifically. Later I was asked to reschedule my appointment. But when I explained my point, I was given an appointment and submitted my application without Tatkal. Previous PP was cancelled. Got the new PP within 7 days.

I have a doubt . The new PP does not have a stamp which they used to put on the past but one page ( Endorsements/ observations) stating that the ECNR endorsement and the previous VISAs are valid. When enquired over phone I was told the practice of putting such stamp is given up, but the ECNR and previous VISAs would be valid. Any views on this ?

    • No, there are no endorsements and observations anymore. Sometimes they put a stamp on the last page where you have your address that says “Visas are valid” and sometimes they do not. I had both of these cases. Nevertheless, your visas in old passport are valid, especially if it is US, Schengen, Brazil, etc.

  40. Thanks for all these helpful inputs.

I was told in the Marol PSK today that since my passport had been issued on a Tatkal basis in 2008, its renewal had to be done on Normal basis. I was even asked to sign a form requesting the process be changed from Tatkal to Normal. The rest of the formalities went off pretty fast (1 hour in all).
