Guide to Apply Newborn baby passport in India ? Documents Checklist

The process to apply for Indian Passport for a new born baby is easier than you think. It is pretty much similar to the Indian passport renewal/ re-issue in India. The process is straightforward and there is NO need to pay to an agent or anyone for this. I did everything on my own, without seeking anyone’s help. I received my baby’s passport in about a little over a week via registered post. I applied it as normal processing mode ( NOT Tatkaal). Let’s look at the details. At the end there are users experiences and many new updates in comments, do check them out.

Minor Passport Spouse Name Endorsement Requirement

If either of the parents or both of them have passport, there is a requirement to have spouse name endorsed on the passport. Without having this, you will not be able to apply for passport. Endorsement means, on the pages with address and other info, you will see your spouse name as well, see below screenshot.

Spouse Name Endorsement Baby Passport

The general process is to apply for Spouse Name Endorsement first and then apply for baby passport. But, there is a work around for this. You can apply for both Passport of the Baby and also Spouse name endorsement on the same day. Read How to apply for minor Passport without Spouse Name Endorsed Experience.

Now that you know the basic requirements, let’s look at the details step by step.

Step 1: Apply for Birth Certificate

Our baby was born in a little town in India and the first and foremost thing that I did was apply for a birth certificate at the municipality office. Depending on where your baby was born you would have to go the respective government body like Municipal office and apply for birth certificate.  Also, the hospital your baby was born in will ask you to fill out a form and you would need to mention all the details clearly on that, as that form will be sent to the municipal office or govt body.

It takes about two weeks to a month to get that. Nowadays everything is electronic. Depending on the state, you would have the state body give you a digitally signed birth certificate with an application number. I could check the details in the Govt website using the application number. You can submit your Passport copy and your spouse’s passport copy or Aadhar copy for spelling and proof.  Make sure your name, your spouse name and baby name are printed correctly, if not you will have issues. I had to re-apply for my birth certificate requesting corrections for the name as the address was wrong and they messed up the surname of my baby.  Eventually, I got the birth certificate of my baby in about 1.5 months.  This is the most important or the only document required I would say.

Step 2 : Register Account in Passport Seva Website, Complete Application

First thing you need to do is register and create an account at Passport Seva Website.  When you are registering a new account, you may not find the exact Passport Seva Kendra (PSK) center in the drop down as it may not be the major one and just a collection or appointment  center. In that case, you select the head of the state. For instance, you may not see Tirupati in the list of  Passport Office, when you register, you will have to Select Hyderabad.  It can be very misleading, but trust me, I did exactly the same thing by selecting the head office.

The process is pretty standard and ensure that all the spellings are correct. Make sure you give a valid email ID, as the link to activate your account and other status emails will be sent to the email address. Once you register you will get an email to activate your account, then you are set with registration.  You can check the guide to Applying Indian Passport Online, the basic steps on the website are same irrespective of the kind of passport.

You need to complete the application online, it is very much straight forward, you can download the PDF form and save and submit it or fill it online. Just make sure you complete the application online.

Step 3 : Walk-in with Application Receipt Printed (Check with PSK)

Some PSKs allow direct Walk-in appointments for some categories like Senior Citizens and Minors without prior appointment.  This always depends on the PSK and you will need to check with the PSK for this by calling them. In case, they allow direct walk-in appointment, you will need to take a print out of the Application Receipt (ARN) and carry that with you.

You can pay the fee online and take the appointment as well.  As you are applying for minor, you may do a walk-in as well and pay it there.  In my case, I paid the fee online and took appointment as written in the below step 4 as I did not know that I can walk-in.  One of our readers Raju (Thanks to Raju ) shared his experience that you can do walk-in. But, we have been reported by other readers like Suresh in Delhi that you cannot do walk-in directly and need to take appointment.  In any case, to avoid issues, I highly recommend getting an appointment, if you have time to avoid any confusions at PSK.

Step 4  : Pay and Book Appointment on Passport Seva Kendra Website

After you register, activate and login to your account and complete the application, you will be have options to book an appointment. Look at the left side navigation, you will have service section saying “View my saved/submitted applications”. Click on that and then you will get options to “pay and schedule appointment”.  You will need to do payment before you can book an appointment.

You can pay using challan or visa/master card. Only certain banks are listed like State Bank of India, if you want to use specific bank card. I recommend using any Visa or Mastercard of any bank and get through the payment, as it saves a lot of hassle. I used a visa card of some different bank and had no problems. You can just pay first and do NOT book, if you are not sure of the schedule. I first paid the fees and completed the payment process. I was waiting for the right dates to open for booking slot.

Usually dates would be available at about 4 to 5 days before the actual date of appointment. So, it is pretty clear, wait for the slots to open and book the date.  Also, there is no hassle in process, where you need wait at a certain time of the day for the slots to open and there is so many people booking at same time. With the payment process in place, it is very clear and there is no artificial demand created, so just book it at your convenient time, no need to pay some for getting slot.  Once your slot if booked using the system, take a print out the appointment receipt as you will need it for the entry at the Passport Seva Kendra ( PSK).  Read all the instructions clearly on the appointment letter as it has all the information you need.

Documents Checklist for Newborn Baby Passport in India

Assuming your situation is straightforward, with both parents alive and both are legally together, below are the Required documents List :

  1. Birth Certificate issued from the Govt Authority like Municipal office.Carry a copy of this.
  2. Proof of present address – usually parent’s passport with address is sufficient. If not, any utility bill, Aadhar Card, Gas connection, Election Voter ID, etc. with the address. We took copies of our passports ( mine and my wife’s) as it served as the address proof documents and other identification proof. Carry a copy of the address proof.
  3. Parents need to print and sign Annexure D from the passport Seva Kendra website
  4. One Passport Photo of the Baby with White Background.
  5. Printed copy of the PSK appointment receipt.

Optional documents:

My wife’s name was endorsed on my passport, so it was very straightforward. If not, it does not hurt to carry the Marriage certificate to avoid issues.

Common FAQs

I do not have spouse name endorsed on parents passport, can I apply for baby passport ?

You need spouse name to be endorsed on passport of at least one of the parents, if not, you cannot apply. But, you can do the spouse name endorsement and applying for baby passport on same day. Check How to apply for minor Passport without Spouse Name Endorsed Experience.

Do I need to take Baby to Passport Office ?

Yes, you need to take Baby to the passport office. They take fingerprints of the baby at the passport office.

My Spouse is abroad, cannot come to Passport Office. Can I apply on my own ?

In the past, as per passport application guidelines, they required either both parents to be present or get the Annexure D as sworn affidavit signed by Indian High commission abroad to apply for passport in India for baby. But, this has changed in recent years and there is NO need to have both the parents. If one parent is traveling or abroad, they can submit Annexure C and indicate the reason as traveling or abroad and get passport of the new born baby.

Why Spouse Name endorsement for getting Baby passport ?

This is to get passport for the baby without police verification.

How long does it take to get Baby Indian passport ?

This totally depends on the PSK and hard to say. But, if everything is right and no complications, you should get passport in about 10 to 15 days under normal processing.

It is always recommend you all to check the passport office website to verify, if any changes to the process or required documents.

Baby Passport Applying User Experience at  PSK Ghaziabad

Hello All,  I went to PSK Ghaziabad today for the passport of my 7 month old baby and would like to share the entire story :

Documents Required :
1) Self Attested Copies of Father+Mother Passport ( With Originals )
2) Self Attested Birth Certificate of Minor
3) Passport size photograph
4) Passport Receipt Form
5) Annexure D

First of all, there is no direct walkin service at PSK, Ghaziabad for Minors, so we had to book the appointment and went on time. We entered and on the very first counter, he checked our initial documents, placed them in the file and asked us to go inside. We went inside and waited for about 15 mins max and our name was announced. For Minors, PSK give a token number starting from “S” which is a special case, so everywhere your token number will be treated on priority. And thats what happened, just when we were finished from Counter A ( max 10 mins ), our token number blinked for Counter B and then in next 2 mins, for Counter C. We were out in max 30 minutes.
It was such a great service there and we were highly delighted. Thanks PSK and Thanks TCS for such a great process.

Did I miss anything? Any other thoughts to add?

As per my knowledge, I do not think Aadhar number is mandatory. Try using the offline PDF form filling and uploading. You can check with the customer service, if any technical issue.

A very informative blog indeed. Thanks a lot for taking out time.

      I have a peculiar query.

Father pass passport made in Delhi then shifted to Gulf and changed address in passport to Bihar in the passport through the passport office in Gulf.

Mother passport made in Ghaziabad (UP).

Both passports have spouse name endorsed.

Now if the baby is born in say West Bengal and gets the birth certificate from there since the mother is currently there then where can we apply for baby’s passport?

Can we apply in Kolkata PSK?

If not then what should be done (like change of fathers address to Bengal) to enable us to apply to Kolkata PSK.

      Thanks
      Navin

    • Arvind,
Depending on what you have in Mother’s passport, the same name should be there in the birth certificate. if something is different, you should get it changed so that all are in sync. While, it may or may not create issues in future, it is better to get it fixed now, rather than worrying about it at a later point of time.

Will this difference in address of parents make any issues while applying for my child’s passport?

    • Suhaina,
The addresses in your passport does not matter, they can be different. When you apply for passport, they will always ask for your current address proof and that is sufficient. If you do not have the spouse name endorsed in either of your passports ( yours or your husbands), then you will have to do that, which can be done on the same day. Sorry If I am confusing you but basically me and wife live at this address sine 6 years but how do I sort this on form? i mean how can the baby have lived anywhere else earlier ? 🙂

Also do I need to give address proofs of both or only fathers is enough as moms’s are still on her own address

    Thanks in advance

It is a bug in the system, Select an older date that the system accepts, it should be fine. You need to provide proof for the current address, does not matter father or mother.

  13. Hi Kumar,

    Hope you doing well.

My wife delivered a baby girl, 24 days back (in India). My wife will be getting the birth certificate next week. I am not currently present in India, i work in Tanzania. I know that I have to go to Indian Embassy and get the sworn certificate etc. But…. what if i just take the print out of Annexure H, I sign it and courier it to my home in India. Once they receive the courier my wife will sign it and then she can submit it to the Passport Office (after getting the appointment as per the date and time).

Coz even those sworn certificates that I will get from Indian Embassy here in Tanzania, I would have to Courier it, there’s no other way they can receive the originals. So why not let me sign the Annexure H and courier that. They have my Passport Copies they can take it.

Oh wait…. Now while submitting the documents, Annexure H, Passport Copies (mine and her’s) will they ask for Original Passport to Verify?
If yes, can my wife show only her passport or do both the parents need to submit their copies of passport. My name is mentioned in her passport as Spouse, even our address is same (in the passport and on the birth certificate). That should solve the problem rite. So I do not need to worry?

If I am missing something here. Please let me know.

    Thanks in advance.

    Regards.

    • Also, I just happen to go to the Passport Seva Website. There under the Required Documents Category for Minors – if ‘Parents holding a valid passport with Spouse name endorsed’ is selected. Then the Passport Authority ask for the following:
      > Proof of Address
      > Proof of Date of Birth
      > Annexure H (duly signed)
      > Attested photocopy of Passport of BOTH OR EITHER PARENT.

      🙂
So i guess I need not worry, I just courier the Annexure H.

      Am I rite???

      Kindly let me know.

      Thanks buddy.

There is an alternative option- if you have marriage certificate then it will work. first your wife need to submit the changes in passport. After your name is added to her passport, then she can contact local agent for applying baby passport. you are not required except in one of the form of signature. same work is going on for me too so I knew. No need to change your passport. You can apply with your husband’s passport as it is already endorsed with your name on it. The steps are quite standard as described above. If you have changed your name and it is different in your spouse passport vs your passport, you will probably need to get your passport re-issued with the change. Check passport website for details.

Now, the problem is we want to get the passport for our new born. However, none of us want to get renewal of our passport for spouse name endorsement, as both of us has valid visas which we don’t want to loose.

Is there a way to get passport for our new born. We do have birth certificate, aadhar card and marriage certificate.

You will NOT lose visa in it. I have expired passport with US visa, I still use it, the validity of passport does not apply, it is the validity of the visa in it that applies, at least for US. Endorsement is mandatory, there is no way around it, you need to get it done, when you apply for your new born.

    • I was in same situation – My suggestion is to completely apply for new passport – both of you. Husband should click on name change and wife can click on reissue – name change and address change. This way you would get your new passport – then police verification. Once you have your passport handy you take an appointment for kid(s) passport – submitted proof of all things as Husband’s and Wife’s passport.
This way things are easy else you have to get many affed’t signed.

You need to give the current address, where you both reside along with baby. The previous addresses in passport does not matter. Yes, it is required to have the endorsement on at least one of the spouse’s passport, you are fine as you have it already done.

All you need is your baby birth certificate, current address proof and passports of you and your spouse. You also need to get the spouse name endorsed in at least one of your passports, if not done. For that you need to carry your marriage certificate. Both the endorsement of spouse name and applying for kids passport can be done on same day. Read Apply for minor passport without spouse name endorsed.

It is mandatory to have both the parents while submitting the passport. If anyone is abroad, they need to get a signed affidavit from the high commission and carry the same with other parent or guardian, who is present.

    • Yes, it is mandatory to have both parents (even though this is not specifically mentioned in their site). Only exception is one of the parent is resident abroad, where additional documents are required.

    • Hi Revati,
I have recently apply new born baby passport. As you say that your husband cant come & submit document with you in india. Then you need below documents must…!!!

      1) Indian Embassy (Indonesia) letter showing that your husband is working in Indonesia.
      2) Your Passport should have mentioned your husbands name.
      3) Babys D.O.B certificate (original).
      4) Your Marriage Certificate (Original).
      5) Fill online form & pay the fees 1000Rs/- online. Keep the receipt.

      Final Documents while going:-
      1) Your Passport = Original + 2 Photocopy.
      2) Your Husband Passport = 2 Photocopy.
      3) Husbands Overseas Company Certificate.(If your Husband is not able to come while submitting the application).
      4) Indian Embassy (Indonesia) Certificate. (If your Husband is not able to come while submitting the application).
      5) Baby Birth Certificate = Original + 2 photocopy.
      6) Marriage Certificate + Original + 2 photocopy.
      7) yours & husband photographs 2 each (white background).
      8) Baby photographs 6 (white background).
      9) Annexure H form ( available on net).

If your all documents are perfect then 3rd day baby passport is in your hand.

      ok.

  30. Hi Kumar,
Thanks for sharing the information. This is what I was exactly looking for. Just a clarification. Since, it doesn’t necessary that parents has latest address on their passport , can we apply for address change and child’s new passport at same time?

  31. HI Kumar,

I have applied for minor passport for my son & his age is 20 days. I have his birth certificate along with my wife’s & my passport. But unfortunately, the spouse name is not endorsed for both of us. Also the Address in both the passport is different to where we are currently residing. I have Address proof as Adhar card & Election Card. Also I have the marriage certificate. Will it be a problem to get my child’s passport being our names not endorsed in each others passport. Will this require a Police Verification as the candidate is only of 20 days now. Will wait for your response
    Thanks

    • Abhijit,
Your son is not a minor as he is 20. Minor applies to only under 18 years. So, he can apply individually with the address proof and birth certificate, etc as a regular passport.

        • Abhijit,
Sorry, I overlooked it 🙂 Anyways, there will NOT be any problem. Well, police verification may or may not happen, it is upto to the discretion of the APO. You have all the right documents and their status you mentioned with other address is not a problem. Just follow standard process, you can apply for spouse name endorsed on the same day when you apply for your baby’s passport. For details read How to apply Passport without Spouse Name Endorsed

As far I know Sworn Affidavit is mandatory. Still the passport office website says the sworn affidavit applies. You can call the customer service to clarify. Just check the embassy website near to you for the details on what they need. Yes, you will need to send the originals to India.

  34. Hi Kumar,

I see in “http://passportindia.gov.in/AppOnlineProject/pdf/ApplicationformInstructionBooklet-V3.0.pdf” the below instructions.

If the Birth Certificate doesn’t contain the name of child, a
declaration on plain paper signed by parents, is required to be submitted specifying the name of the child.

Is this still valid or I would face any issue in PSK.

Anyone had tried this route ?

    • Mani,
You are right, as per the current FAQs, it still holds good : http://passportindia.gov.in/AppOnlineProject/online/faqApplicationForm . I do not know anyone who has taken the route. My personal recommendation is to get your birth certificate corrected with the child’s name, as you will require this certificate for some important things in future. Your solution may work for passport application, but in the long run I suggest you get it fixed now.

    • Priya,
My situation was exactly like yours. You do not need to change anything. All they need to spouse name endorsement on either of the passports. If not done, you will have to do it on the same day, when you apply for your infant’s passport. You will need to carry birth certificate and current address details for the baby.

    • Ashtoush,
Applying for your wife passport is just like any other passport. You will need their Date of birth details, education certificates and address proof, including your marriage certificate originals for endorsement. You can apply for your kids passport together as well or separately at a later time.

Thanks for a wonderful blog. Kindly clarify the following as I am planning to apply for my baby who is 7 months old
    1. Are original passports of the parents required or would attested photocopies would do as my husbands passport is with UK embassy for his visa processing? I have my original passport with husbands name endorsed but need the address on the babys passport matching that of husbands. My husband need to travel immediately after receiving my visa and hence we wanted to process babys passport before he leaves.

    2. Do they actually allow walk-ins for babys passport application at PSK as I couldn’t find any such information on the official website.

    3. Does the customer care number 1800-258-1800 reachable by anyone? I am getting a message that the number does not exist

  38. Hello Kumar,

The information you have shared is very resourceful !

I have a query which I hope you can help with.
We live in Mumbai and I want to apply for a passport for my two month old baby. I am presently in Bangalore at my mother’s house. Can I apply with documents of the mumbai address since that is what I want on my baby’s passport?
Secondly, Are both parents required to be present at the PSK OR only one parent can visit the PSK with the baby?

    Reply
    • Deepa,
Yes, you can go to any nearest PSK and apply for passport. You will need to submit proof of your current address in Mumabi along with passport application. Yes, both parents are required to be at PSK. If one parent cannot make it, they need to submit a sworn affidavit for the same. Usually, this situation comes when one of the parents is abroad and they are required to provide a sworn affidavit from embassy abroad. If your spouse is in India, I suggest you plan such that he is present on the day to avoid issues. Call the customer service to clarify as well.

      • Hi Kumar,
Wondering if the security guard would allow us to go inside the PSK if any immediate family member will accompany the child along with spouse if one parent cannot make it?

I guess we really need a support since my baby is only a month.

        Please advise. Thanks in advance!

  39. Thank you very much for the information published on this blog. It was very useful. I got an appointment at the PSK – Lalbag Center, Bengaluru for my 7month old child and renewed for my 9 yr old child. There was a passport mela scheduled on the same day (May 7th). The entrance was a breeze as security was very cooperative to allow parents and children inside. There were kids who were 3+ years, unfortunately they were asked to stand in the line.

The usual IT glitches; broken printers and turnsile not working were slowing down the process. Documents listed above were only sufficient for first time applicants when both parents were present with the child. Although, the center was crowded we completed the entire processing of both children in 1.5 hours.

Counter A, B & C were staffed properly and at the end, the center returned back all documents after scanning & verifying the original documents. Hence, please carry originals (passport, aadhar, birth certificates without fail) to speed up the process.

Yes, you can. You need to go to the nearest embassy and get sworn affidavit done, send that to your wife. Your wife can go to passport office and apply for the passport endorsement and new passport for your kid at the same time. Check nearest Indian embassy or high commission office and check their website for details.

You can ask your current guardian for your baby in India to apply for your child’s passport. You and your spouse need to go to the Indian embassy / high commission office in the country you live and get Annexure H duly attested by the consular and send it to your guardian for presenting the same while applying for passport. Check the passport website for documents and process and speak to embassy in UAE to get more details.

In Present address section, for “Residing since” question i said from the birth date which is 3 months.
Now online application form for passport asks previous address .
What should be provided in Previous address and from date should be?

    • How did you solve this issue? I also have same issue. My child is just one month old. So when I fill the form of present address from last month, it opens next option to fill address details of past 1 year. But those dates cannot be filled since those are earlier than birth date !!

I am trying to apply for for passport for my 1.5 month old daughter under TATKAL. I am not sure why its asking for VC/NOC/PIL/IC Details. If I check the document advisor for Minor passport under tatkal, it doesn’t mention them.

You should apply for passport where you and baby currently live. You will need to provide two references details as well and current address proof and birth certificate. The process is pretty straightforward. It should go through without any issues. You may check with customer support team by calling them for any clarifications.

My husband has endorsed my name in his passport. He also has his passport referring to our current residence address.
However my passport has a different address, and I don’t have any proof to point to our current residence address.
    Is that a problem ?
Should both parents carry address poof of the current residence address?

    • No Aarathi.. It will not be a problem. No need for both parents address proof.
Just provide the current address in application for Infant and provide both of your passports.

Yes, there will be no problem. No, there will be no police verification, if your passport is endorsed. Should be about 1500 INR for normal passport. You need to register online and fill the application. You can read the above article and related articles for more info.

You will need passport for new born baby. Usually airlines will NOT allow you board flight after you are about 32 weeks, you need to check with them. Also, you need to check, if they will allow new born infants few days old. You may apply for tatkaal, but you will need all the required documents they ask for the same.
