Guide to Indian Passport Renewal/ Re-issue – Documents, Process

Applying for an Indian passport used to be a complicated process in the past and mostly done with the help of agents. But things have changed in the past few years with good processes and technology. You do not need an agent anymore and can do it everything on your own.

In this article, we cover the entire process end to end and also have user experiences too.

Indian Passport Renewal vs Re-Issue

“Renewal and Re-issue are used interchangeably by many. But there is a subtle difference. The term renewal is used, if you have a passport with Short Validity Passport (SVP) and you are applying for extending the same. In that case, you will still be getting a new book. Unlike, Re-issue relates to exhaustion of pages or passport reaching the end of a 10 year validity. The terms renewal and re-issue are used interchangeably in the article below for easy understanding. The process is same, so nothing to worry.

When can you Renew or Re-issue Indian Passport?

You can renew or re-issue your Indian passport up to 1 year before the expiration of the passport. If you are a student, you can get re-issue of your passport within two years of expiry by selecting reason ” Validity expired within 3 years/ Due to expire”. You can also renew or get re-issue of passport, if you meet any of the below :

  • Your personal details changed like name, martial status, etc.
  • Your passport expired already within last 3 years or before
  • Your passport pages are completely full and no pages left
  • Your passport is damaged or you lost the same.

Passport Document Advisor : Indian Passport Website has a document advisor, that clearly tells the required documents, you should enter your details, to get the list of documents required before you begin to process, so that you do not end up in panic after registering. Below is the step by step guide to get Indian Passport re-issue or renewed.

Step 1:  Register Online Account at Passport Website

Since the paper based forms are eliminated, you need to fill Indian passport application online. Below are the details.

  • The very first step is to register yourself with the Passport Website. All you need to do is go to Passport Seva Website and click on ” New User Registration”.
  • You will be asked to fill basic details and email ID. This will be used to login and fill the passport application form. You can choose the passport office based on where you currently live now.
  • The second thing is to activate your account using the email you get and login.
  • After you login, you will see an option called “Apply for Fresh Passport/Re-issue of Passport”.  Click on that and enter details.
  • Can Submit Passport Application Anywhere : Since June 2018, as per new guidance, you can apply for passport anywhere in India. You do not have to do it in the same state of your residence. There is a dropdown in the account creation page, you are free to choose the location where you are

Step 2:  Fill Passport Application Online

After you activate your account and login, you will be presented with two options to fill out application form, the online system will show as Alternative 1 and Alternative 2 . It does not matter what you use, both work the same.

  • Alternative 1  : Using Online form to fill the application online. You will need internet.
  • Alternative 2 : Using PDF form. You download the form, fill it out and then upload it.

The recommended option is to use the Alternative 2 with PDF form as some details may not be readily available with us and we have to save info, etc. I also prefer the PDF form option as it is very detailed and clear. Either case, it is the same. You will need the below details to complete the form.

  • Your current address details and other details that are already in your previous passport.
  • You need to enter Emergency Contact Details like Name, phone number and email.
  • If you are changing any details like adding Spouse info, their info as per document

If you are using the PDF form option, you will need to fill all the mandatory fill and then hit validate and Save, it will ask you to save a file (XML file) and give it a name.

You need to upload that file in the section where you just downloaded the PDF form. All the details will be automatically created, you need to verify before saving as you cannot change the details after this step. Of course, you can change them when you are at passport office, if anything wrong.

Step 3 :   Pay and Book a Slot or Walk –in, Print Application Receipt :

Once your application is created, next step is to check for available slots and then pay for it.  There is an option on the website home page to check the slots as well or you can go to Check Appointment Availability. Anyways, once your application is submitted. you need to select it, for that see below.

  • You will have an option on the left saying ” View Saved / Submitted Applications “.  Select the application by clicking on radio button. Then you will show options with links to them. You need to click on Pay and Schedule Appointment. 
  • This will give option for payment, either online or pay with challan. Usually, it is easy to do it online way. Selected Online Payment
  • Then you will have option to select the Passport Service Kendra and the time slot. It will show the available time slots options.
  • You can select the same and then you will go for payment page. Where you can select your payment option. I used NetBanking and it was seamless.

If you are eligible for walk-in, you can cancel the appointment and then carry that cancellation page, along with the payment receipt page, you will be allowed to walk-in directly during the respective hours.

Once payment is complete, you will have to print the application receipt and carry that with you on the appointment day. It will have a bar code as well, ensure that is clearly printed and it has the payment confirmation info on it. If you find something wrong in the details, make a note, then you can tell the same at passport service kendra.

Step 4 : Documents List for Passport Re-issue or Renewal

You have a nice step by step guide to help you identify the list of documents that you need for your passport renewal. If you go to the home page and click on Document Advisor for renewal / re-issue , you will get a form to select options. Based on options it will show the list of documents that you need.  These are the documents you will need. NO Additional documents are required. In fact, I called the customer support as well and they said the same list and my experience at Passport Seva Kendra says the same.  You do NOT require additional documents.  Do NOT listen to others.

Indian Passport Renewal Documents Checklist

Below are the typical documents that you need to carry to the passport office, depending on your situation.

  •  You must print out the online form that you printed out with the Application Reference Number(ARN) and carry it with you. It is mandatory to have this document with you.
  • Original Old Passport that is expiring or expired
  • Same Address as in your Old Passport :
    • You do NOT need anything other than the photocopy of your passport’s first page, last page, and the page with ECNR info. You will do self-attestation ( your own signature)
    • You may carry current address proof like a utility bill or Bank statement or Voter card, etc… see below for some of those documents.
  • Change in Address – Different one from your Old passport address
    • Just like above,  first, last and ECNR page photo copy with self attestation
    • Address proof of change in address – Any one of the below is acceptable.
      • Any one of the  Utility bills like Water, Telephone, Electricity Bills –  You need at least for 2 months  of which one should be of current year and other should be of previous year.
      • Proof of gas connection. If you are submitting utility gas bill, PSK will ask for two of those from past two months. Make sure you carry two of them. This was shared by our reader Karthik.
      • Ration Card with address .
      • Bank Statement  for 1 year, Passbook of the bank account with address on it.
      • Any of the cards like Aadhar card, Voter ID, etc.
  • Add Spouse Name, Change
    • If you would like to add your spouse name, carry original and photo copy of your marriage certificate. It is required. You need a photo copy that needs to be self attested.
    • If you plan to change any details like names, etc, you need to carry original with photo copy signed by you.

There may be other set of documents that you may be asked from the website, if some exceptions for your case. That’s why always check passportwebsite.

Step 5:  Go to the passport Office (PSK) for the Appointment

If you have got a slot, go at that exact time or 15 min before, no need to go there and wait outside.  If you are eligible for walk in, you can do that.  The process at PSK is very straightforward and they have clear steps for the process.

High Level Process inside the PSK:

  1. Section A – Processing Counter : You will go to their waiting lounge, where you will be able to work with the first processing center and they will be named as Section A. These are usually TCS outsourcing employees who will verify everything and then issue you a token number to go to next section
  2. Section B – Verification Counter: This section is called Section B and it is where your documents are re-verified and corrections are done. You will wait in the waiting hall, where you can see the queue number and go to the respective counter. Here you will be asked to sign electronically, your biometrics will be taken and all the relevant documents will be scanned, if you have not submitted them online. This is also handled by the outsourcing company such as TCS, you will find this step very efficient as well.
  3. Section C – Granting Counter: This is the section where the actual passport granting happens. It is handled by an Indian Govt. Officer who will verify everything and grant issuance of your passport. This is called as Section C. This can take time here and it can be long. Again, here also there is also queue and you will need to wait for the token number to be called. The officer may ask a question or two and grant passport if all is fine with your application.
  4. Exit: You will exit at the last step after Section C, where you will be asked by the security guard to show the appointment letter and he may stamp on the acknowledgement paper for your reference.

Indian Passport Renewal Experiences

Below are real experiences shared by our readers A G Bhat,  in Bangalore and Mrinal from Mumbai. Thanks to them for sharing his experience. Also, we have many other experiences in the comments, do check them out.

Passport Re-issue Experience at Mumbai

I had my Indian Passport renewal today in Mumbai(Andheri PSK) as my passport was expiring within 1yr. Got appointment for 9.15AM IST and was asked to report at 9am. (Under Regular processing) . Process was very smooth and straightforward and I was complete in 1hr time (primarily due to preparation and early slot).

Passport Re-issue Process at Mumbai

1. I had actually downloaded the PDF first and filled it and kept so that any trials errors needed were done on that.
2. I was having minor difficulty uploading it probably because i renamed etc. However I used the filled PDF as entry for Online application (Which also can be saved and filled over multiple attempts like for any college /visa application).
3. The form was submitted.
4. I have just moved back from US so I wrote my current Indian address which was also in my Aadhaar card . Mentioned US address for previous in last 1yr stay without state or county.
5. I had even uploaded PDF copy of all documents though not sure if it was any help today.
6. Paid online and booked appointment

Documents Required On Passport Appointment Day

1. Originals: Passport(old), Aadhaar (both top and bottom part: for Address proof and ECNR), 10th Marks card (for ECNR)
2. Copy of first 2 pages, last 2 pages and Page number 2 of passport which would either not mention anything or ECR. ( I had not taken page 2 and was asked to take photocopy at Passport Seva Kendra)
3. Copy of 10th marks card and Aadhar both top and bottom part. ( Had not taken copy of top part and had to take at PSK.)

Process at PSK for Passport Re-issue

At the PSK try to reach early for your reporting time. The entry is not based on sequence number assigned but based on your arrival for your reporting time. Once you enter, the originals, photocopy and application receipt are checked once and after all documents are confirmed you are asked to wait till they generate token number. After token number is generated you are asked to go inside and wait for 1st step in A counter.

At the A counter documents are scanned, photo taken, biometrics verified and signatures taken. Also they check if you want to enroll in Mobile Seva(Sms updates for Rs 40). If yes you pay in cash exact amount. Once done you are asked to goto B counter.

At B Verification Officer (VO) validates the entries again and puts his ticks & sign in the application. Once B is complete, one proceeds to C counter for Granting Officers approval who again verifies documents and stamps both the old passport ( Cancel & returned) and approval stamp for application,

Once that is done you are asked to proceed to exit counter where you are given acknowledgement receipt and asked to fill feedback form. The acknowledgement ideally mentions your passport approved post police verification.


Passport Renewal Experience  at Bangalore

My passport had expired three months back. I read the articles in this site and understood the procedure to be followed. After understanding the same clearly, I applied online and selected the slot at Bengaluru (Lalbhag) PSK. I applied on a Saturday and slot was available for very next Monday. However, I opted for a slot on Wednesday which I got. So there was no necessity for me to cancel the same and go for “walk in”. On Wednesday, my time was at 10.45 AM and I went there exactly at 10.30AM.

The process at PSK was exactly the same the Hyderabad PSK explained in this site. Courteous people, proper guidance at every stage, no confusion at all and no hassles. After successfully finishing the entire process I came out from PSK at 11.15AM, in just 30 minutes for whole process. I gave my feedback as “Excellent” for the service but I feel that this is too less a grade. World class experience indeed. Thanks to the vision of the External Affairs Department of Govt of India. And my thanks to all concerned, from Prime Minister and External Affairs Minister to TCS and every one in the PSK.

Along with my wife also had applied for re issue of her Passport. We both selected the same slot and went inside together and we both came out together. She could not believe that such things can happen in our country.

Common FAQs

Do I need an agent  for Passport Renewal ?  Any value ?

In the past, there were few things that were not clear. Now, with online process and outsourcing the process is fully online and no need for agent. You can do everything on your own.

How long does it take for Passport Renewal ?

It usually takes anywhere from 10 days or so to 30 days. In many cases with the new system, many were able to get passport within 10 days. But, if there are some delays in police verification or other things, it can take time.

Delays with Passport – More than 30 days – What can I do ?

    Need some help. My passport is about to expire in 7 months. I have no permanent address. The address on my Aadhar Card is that of the rented apartment I am staying in. Can I use it as a permanaent address proof while applying for re-issue of passport ? I also have to get my wife’s name incorporated in the passport this time.

My original address proof is from Maharashtra state, old passport also has the same address from Maharashtra state only… Can I renew it in the nearest PSK in Delhi by using old & same address proof from Maharashtra state…..? Please guide me….

    In Passport re-issue case, when Passport was received through post, then after 2-3 days a policemen came for verification.
    Took signatures on a form and took photocopy of old passport.
    Then he said, in a week LIU people will also visit.
    What does this mean and what they might demand to verify ?

    Any idea ?

      It is upto the discretion of the Passport Office to do the verification based on case by case. It is hard to predict what they want. Just make sure you have all your documents originals.

    My passport is about to expire in 10 months. I want to renew it now so that I can apply for a long term Visa through my company.

    The address on my passport is my permanent address which is a place in Telangana near to Hyderabad. However, as the passport mentions Andhra Pradesh. The second problem is my current address is in Pune (I have been staying here from past 3 years).

    I don’t want my passport to have Pune (current address) and want to have my permanent address but with the change in the name of the state.

    Can you please suggest the approach to my situation and the location where I have to apply for the passport.

    Note: I travelled couple of times to Europe in past 2 years as a part of my job (business trips)

    • Dinakar,
      You should apply for passport at the place you live. There may be police verification after they issue the passport as well, so it is always recommended to do it at where you live. While I understand your preference, but it is not recommended to cut corners and end up in trouble by giving a address where you do not live. In general, the address on passport really does not matter for anything. You should apply for passport at a PSK in Pune, where you live.

        Thanks for the advice, I shall apply at Pune PSK. Although I am staying in Pune from past 3 years, it is only 6 months in my current rented house. I have a bank account (Kotak) mentioning the current address.

        Is it mandatory to stay in a house for more than one year to apply for renewal? Will the bank account be sufficient to apply? If I have to mention the previous address, do I need to produce any address proof?

  5. Dear Sir, My native is coimbatore and all my address proof & everything is in coimbatore address only, including my present passport (10 year validity) which is due to expire within 6 months. But now I am working in Chennai. Since I willbe travelling abroad shortly, I need to have a minimum of 6 months validity asper Visa Norms.Can I apply for the Renewal/Re-issue at Chennai PSK itself or should I apply from Coimbatore only??

      You should apply at your current address location, which is Chennai PSK, as there may be address verification based on the passport officer discretion. You will need to submit proofs of your current address location.

  7. My passport got damaged as some medicine got spilled on it and i had applied for reissue, got an appointment. Do I need to make some affidavit for reissue of the same or just the old passport and necessary documents are enough? Kindly reply.

    • No need to make any affidavit specific for this. Just normal documentation is good enough. Check the document advisor on passport website for confirmation.

    1. My first query is with respect to the passport expiry of my minor daughter which is March 10. So will it be Re issue or Renewal?

    2. My present passport doesnt have family surname ie Iyer, so when i will be renewing next year will i have to go for gazette to add this surname or can add directly in the Online form as i want my name to be printed in passport?

    3. Want to make passports for my parents. Unfortunately no SSc certif, or college, or marriage certifi with them .But they do have aadhar and voters id card. Can i make passports for both of them with these aadhar and voter id cards?

    i was travelling back to india from USA for about 3 weeks, unfortunately some how my passport got wet(probably due to water leak), all the information is readable but on delhi airport my passport was not electronically readable. He mentioned that while returning back to US this could be a problem. At the back of front page there are some damages like on 30% photo is not fully recognizable.

    I am thinking of applying for reissue of new passport but i fear whether i will get it withing 2-3 weeks. As i have return flight on 29th jan.
    I went to local passport office but there was total chaos, i met a deputy passport officer and he suggested to apply for re issue but he was not sure about how much time it will take(as according to him process involve the police verification).

    Considering the time limitation that i have what are the options?
    My F1 student VISA is fully recognizable there is no damage to it.

      You can try for Tatkaal option. Usually, when you apply at any PSK using online process, even regular application, the overall process will be quite fast and should not take over 10 working days. You have enough time, including police verification. Act fast, you will be fine. It is a bigger problem, if you run into issues at US port of entry. You should never carry a damaged passport.

    • You need to check with the High Commission, where you applied, they will tell you the actual processing time as it can vary by country.

      Birth certificate is compulsory. They may ask for Aadhar card, if you have it carry it. You can call the customer service to clarify. You will need apply as single parent, it should be fine as long as you have divorce papers and all in place.

      I am currently staying at UK since last 8 months. I will be going back to India in month of August and planning to renew/re-issue my passport as it is due to expire in October this year.

      Need to know what should I be mentioning in my current address as I wish to take the appointment for renewal from here (online), as I might not get early appointments if I book after reaching India. What did you mention in the application form under current address? Please throw some more light on this!! Thank you..

  17. Hi, This is nice piece of information. I have a doubt, recently I have changed my address and hence I have had my Aadhar card with correct address (Revised one). But the revised one is available as a soft copy (PDF) only. I didn’t receive the hard copy. And moreover, Aadhar is the only document that shows the correct address proof as of now.

    Now I wanted to do renewal of my passport. Is the printout of revised Aadhar card is sufficient for them? or Do they need original hard copy ?

      You may check with customer service. I am not sure, if you can request it online for a physical hard copy. It is recommended to carry additional address proof like rental agreement or Bank passbook with your photo.

    These are great details. I have a question though. My passport is about to expire in 6 months and I am a NRI. I have plans to go to India for a week in month of March. Assuming, I have gone through all the above process successfully online and booking an appointment on a day in a week I planned to travel and successfully getting the appointment done, will the reissued passport shipped to my indian address with no issues, eventhough i wont be there physically? How much time will it take to get the passport if applied through tatkal and does my physical presence required for police verification?

    • Sekar,
      Well, some do it that way and get it successfully. But, technically it would be best to apply in the country you live at the high commission close to you. There may or may not be police verification, it is up to the discretion of the passport officer. Tatkaal takes a week, but lately, normal processing is also taking same amount of time and quite fast. You will need to be there physically to pick up passport as it arrives as registered passport.

    I have a valid passport (originally issued at NOIDA address).

    My wife’s passport expired in July 2014 (originally issued at Haridwar address) is to be re-issued.
    My father’s passport expired in Nov 2016 (originally issued at Lucknow address) is to be re-issued.
    My 8 year old son’s passport to be issued first time (fresh passport).

    We all have valid AADHAAR card for the current address in Ghaziabad.

    Please guide me for each case above.

      All of these can be applied at any nearest PSK to where you live. You will need current address proof and carry your old passports. For your kid, you will need to have your spouse name endorsed on either of you or your spouse passport.

    I have a question on Indian passport renewal/re-issue while abroad in the US.
    Student on F1 visa in US . Passport validity is about to expire in next 8 months however stay in the US is going to be for another 2 years to complete education and OPT.
    Will renewal/re-issue from within US gives new book and new passport number?
    If so, how does it work because I-94 and other US government documents track the student with passport number of the book which is going to expire soon.
    I imagine maintaining same passport number would have been ideal and seamless for travel, H-1B applications and so on. Isn’t it?

  25. My current passport is expiring in March-2017. I will be travelling to India during Jan-2017 for couple of weeks during which I am going to re-issue my passport in Tatkal process. My address has changed from my current passport and I have been residing at the new address since less than a year. These are the docs the docAdvisor tool suggested me:
    1. Copy of current passport
    2. Address proof
    3. Non-ECR document

    My questions is:
    – Do I need to carry annexure F and annexure I for tatkal although they are not suggested by DocAdvisor?
    – Will a police verification be required in my case (due to address change)? If required, can I travel before the police verification is complete?

      – Not sure about Annexure F. You should follow Doc Advisor, alternatively you can call the customer service.
      – Technically no, there was a rule passed last year that address verification is not mandatory, but it is up to their discretion to do it as needed. As long as you have new passport, I guess you can travel. The process is something that happens in the background.

    • I just went through this process. You will need Annexure F for a Tatkal application (I didn’t take one and had to go back again). Since your address has changed you will have police verification. Passport for me arrived in 48 hrs. With that in hand I went to the police station to request them to come and do the verification (they came the next day)

  26. My passport validity was going to be expires on june-2017 and i need to renewal my passport.
    But my present and permanent address(district also changed but state is same) which was mentioned in passport was changed and my present address was mentioned in aadhaar card.

    Kindly instruct where i have to approach means which district passport office i have to be approach(old one or present one) and what was the documents required.

      You will need to go to your nearest PSK, which is better for processing as the process is straightforward and simple. I do not know how it work with the districts and other aspects. You can follow the process described above.

    Recently got my birth certificate and found the place of birth is different than the one in the passport. I got my passport in 2005 and I live outside India for almost 7 years now. I am having a really hard time figuring it out from where to start.

    I have renewed my passport few years back with the Embassy here and didn’t see the error then to change.

    I would request you, if you could answer my questions as soon as possible.

    1. I live in Asia and for last 7 years and for at least a year I will not be able to come back to india, therefore can I able to re-issue my passport with the place of birth changed in the passport at the Indian Embassy here?

    2. If yes or no, what documents do I need to provide them with in here or in India?

    3. How long will it take to reissue the passport with the said error in India?

    4. How much is the fee for this service in India?

      1. Yes, it should be possible at Indian embassy near your place.
      2. You will need to check embassy website on the exact process and documents required. Usually, it is your birth certificate for sure.
      3. Cannot speak as it varies by country, check with the embassy
      4. In India, it is normal passport re-issue with change, about 1500 INR.

    • You should go to the PSK around the place where you live and give your current address proofs. You cannot get other address from current address on the passport…as they may do verification based on discretion of passport office…

    I’ve received my passport on a post police verification basis.
    The passport has arrived. The police verification was done as well and he took the signature of my 2 neighbours.
    My question is, can i travel with this passport or do i need to wait for a clear status with regards to the police verification? How does it work?
    If i can’t travel and have to wait for the clear status, how does post verification even matter!

    • Police verification is something that is related to government process… As long as you have your passport with you, you are free to travel…if police verification turns out to be bad, then you may be informed on further process…

        Although please note, like I said, the physical verification has already been done. But I haven’t received a clear or an adverse status.

      You need to get that marriage certificate, I am afraid, the alternates like going to regional court and getting document from them, etc is much more complicated…you can check passport website for specifics on the other certificates.

  34. We need to get a Reissue passport for my son. We live in Coimbatore now but the old passport for him was taken from the Trichy passport office. Should we go to the Trichy passport office again for the reissue or else can we go to the Coimbatore passport office itself.

      You do not need to go to old place. You should apply for passport re-issue from the place and PSK nearest to your current residence. You should provide proof of current address as well.

      You cannot apply before 1 year of expiry. The easy thing is to apply at Indian High Commission, close to the place you live in US.

    I will be re-issuing my passport on account of the recent expiry of old passport (five year validity; issued when I was a minor). The website states that no additional documents will be needed apart from my old passport and self attested photocopies of its front and back pages. Is this accurate? What other documents or proofs might I need as as undergraduate student? There are no changes in my residential address or other personal details.

      You can stick to the suggestions in document advisor on passport website. Either case, You will need your current address proof and maybe study certificate from the school, if needed.

      You will need that document for sure. There are some alternatives like getting certificate from court, which is indicated on passport website. But, in all reality, I suggest that you get your marriage certificate done…it is required for you in the long run. In fact, recently, my relatives got their marriage certificate 15 years after marriage to avoid issues with getting passport and other aspects.

      You will need sworn affidavit from your husband by visiting his nearest Indian High commission and Annexure H signed by him. You will need these documents for sure besides birth certificates and current address proof.

      Typically, if one is minor, both parents have to be present…or have sworn affidavit signed by you and annexure H, if you are abroad…You can call the customer serivce to get confirmation. Yes, it is a re-issue.

    I took my passport before marriage that time I added my surname as my father name. After my marriage my name has added to husband’s passport as spouse by showing marriage certificate. But added my husband name as surname.
    Now
    My passport – surname as father
    My husband passport – surname as husband
    is this issue?
    by showing both of our passport we took passport for our daughter. now we would like to take passport for our son.
    My husband got H1B lottery this year 2016.
    Is above mentioned surname issue? or no issue? Please guide.

      I do not think it should matter…you already have got your daughter passport, it is the same process now for your son. No, H1B lottery has no relationship with it and will not have issue. To avoid issues, I suggest you get your passport re-issued with the new Surname from your husband, it should be easy and stratight forward process.

      • Hi, for reissue, you no need to show any proofs to endorse your spouse details in your passport, that’s what psk guys told me, however tomorrow is my appointment, I will clarify by tomorrow EOD..I’m also married but no marriage certificate..

          Marriage Certificate is mandatory for endorsing spouse name, in case you do not have it, you need to get something that is given by court regarding your marriage. All these details and required documents are listed as per document advisor on passport office website. I have also applied myself and they are mandatory.
