Guide to Apply Newborn baby passport in India ? Documents Checklist

The process to apply for Indian Passport for a new born baby is easier than you think. It is pretty much similar to the Indian passport renewal/ re-issue in India. The process is straightforward and there is NO need to pay to an agent or anyone for this. I did everything on my own, without seeking anyone’s help. I received my baby’s passport in about a little over a week via registered post. I applied it as normal processing mode ( NOT Tatkaal). Let’s look at the details. At the end there are users experiences and many new updates in comments, do check them out.

Minor Passport Spouse Name Endorsement Requirement

If either of the parents or both of them have passport, there is a requirement to have spouse name endorsed on the passport. Without having this, you will not be able to apply for passport. Endorsement means, on the pages with address and other info, you will see your spouse name as well, see below screenshot.

The general process is to apply for Spouse Name Endorsement first and then apply for baby passport. But, there is a work around for this. You can apply for both Passport of the Baby and also Spouse name endorsement on the same day. Read How to apply for minor Passport without Spouse Name Endorsed Experience.

Now that you know the basic requirements, let’s look at the details step by step.

Step 1: Apply for Birth Certificate

Our baby was born in a little town in India and the first and foremost thing that I did was apply for a birth certificate at the municipality office. Depending on where your baby was born you would have to go the respective government body like Municipal office and apply for birth certificate.  Also, the hospital your baby was born in will ask you to fill out a form and you would need to mention all the details clearly on that, as that form will be sent to the municipal office or govt body.

It takes about two weeks to a month to get that. Nowadays everything is electronic. Depending on the state, you would have the state body give you a digitally signed birth certificate with an application number. I could check the details in the Govt website using the application number. You can submit your Passport copy and your spouse’s passport copy or Aadhar copy for spelling and proof.  Make sure your name, your spouse name and baby name are printed correctly, if not you will have issues. I had to re-apply for my birth certificate requesting corrections for the name as the address was wrong and they messed up the surname of my baby.  Eventually, I got the birth certificate of my baby in about 1.5 months.  This is the most important or the only document required I would say.

Step 2 : Register Account in Passport Seva Website, Complete Application

First thing you need to do is register and create an account at Passport Seva Website.  When you are registering a new account, you may not find the exact Passport Seva Kendra (PSK) center in the drop down as it may not be the major one and just a collection or appointment  center. In that case, you select the head of the state. For instance, you may not see Tirupati in the list of  Passport Office, when you register, you will have to Select Hyderabad.  It can be very misleading, but trust me, I did exactly the same thing by selecting the head office.  

The process is pretty standard and ensure that all the spellings are correct. Make sure you give a valid email ID, as the link to activate your account and other status emails will be sent to the email address. Once you register you will get an email to activate your account, then you are set with registration.  You can check the guide to Applying Indian Passport Online, the basic steps on the website are same irrespective of the kind of passport.

You need to complete the application online, it is very much straight forward, you can download the PDF form and save and submit it or fill it online. Just make sure you complete the application online.

Step 3 : Walk-in with Application Receipt Printed (Check with PSK)

Some PSKs allow direct Walk-in appointments for some categories like Senior Citizens and Minors without prior appointment.  This always depends on the PSK and you will need to check with the PSK for this by calling them. In case, they allow direct walk-in appointment, you will need to take a print out of the Application Receipt (ARN) and carry that with you.

 You can pay the fee online and take the appointment as well.  As you are applying for minor, you may do a walk-in as well and pay it there.  In my case, I paid the fee online and took appointment as written in the below step 4 as I did not know that I can walk-in.  One of our readers Raju (Thanks to Raju ) shared his experience that you can do walk-in. But, we have been reported by other readers like Suresh in Delhi that you cannot do walk-in directly and need to take appointment.  In any case, to avoid issues, I highly recommend getting an appointment, if you have time to avoid any confusions at PSK. 

 Step 4  : Pay and Book Appointment on Passport Seva Kendra Website

After you register, activate and login to your account and complete the application, you will be have options to book an appointment. Look at the left side navigation, you will have service section saying “View my saved/submitted applications”. Click on that and then you will get options to “pay and schedule appointment”.  You will need to do payment before you can book an appointment.

You can pay using challan or visa/master card. Only certain banks are listed like State Bank of India, if you want to use specific bank card. I recommend using any Visa or Mastercard of any bank and get through the payment, as it saves a lot of hassle. I used a visa card of some different bank and had no problems. You can just pay first and do NOT book, if you are not sure of the schedule. I first paid the fees and completed the payment process. I was waiting for the right dates to open for booking slot.  

Usually dates would be available at about 4 to 5 days before the actual date of appointment. So, it is pretty clear, wait for the slots to open and book the date.  Also, there is no hassle in process, where you need wait at a certain time of the day for the slots to open and there is so many people booking at same time. With the payment process in place, it is very clear and there is no artificial demand created, so just book it at your convenient time, no need to pay some for getting slot.  Once your slot if booked using the system, take a print out the appointment receipt as you will need it for the entry at the Passport Seva Kendra ( PSK).  Read all the instructions clearly on the appointment letter as it has all the information you need.

Documents Checklist for Newborn Baby Passport in India

Assuming your situation is straightforward, with both parents alive and both are legally together, below are the Required documents List :

  1. Birth Certificate issued from the Govt Authority like Municipal office.Carry a copy of this.
  2. Proof of present address – usually parent’s passport with address is sufficient. If not, any utility bill, Aadhar Card, Gas connection, Election Voter ID, etc. with the address. We took copies of our passports ( mine and my wife’s) as it served as the address proof documents and other identification proof. Carry a copy of the address proof.
  3. Parents need to print and sign Annexure D from the passport Seva Kendra website
  4. One Passport Photo of the Baby with White Background.
  5. Printed copy of the PSK appointment receipt.

Optional documents:

My wife’s name was endorsed on my passport, so it was very straightforward. If not, it does not hurt to carry the Marriage certificate to avoid issues.

Common FAQs

I do not have spouse name endorsed on parents passport, can I apply for baby passport ?

You need spouse name to be endorsed on passport of at least one of the parents, if not, you cannot apply. But, you can do the spouse name endorsement and applying for baby passport on same day. Check How to apply for minor Passport without Spouse Name Endorsed Experience.

Do I need to take Baby to Passport Office ?

Yes, you need to take Baby to the passport office. They take fingerprints of the baby at the passport office.

My Spouse is abroad, cannot come to Passport Office. Can I apply on my own ?

In the past, as per passport application guidelines, they required either both parents to be present or get the Annexure D as sworn affidavit signed by Indian High commission abroad to apply for passport in India for baby. But, this has changed in recent years and there is NO need to have both the parents. If one parent is traveling or abroad, they can submit Annexure C and indicate the reason as traveling or abroad and get passport of the new born baby.

Why Spouse Name endorsement for getting Baby passport ?

This is to get passport for the baby without police verification.

How long does it take to get Baby Indian passport ?

This totally depends on the PSK and hard to say. But, if everything is right and no complications, you should get passport in about 10 to 15 days under normal processing.

Baby Passport Applying User Experience at  PSK Ghaziabad

Hello All,  I went to PSK Ghaziabad today for the passport of my 7 month old baby and would like to share the entire story :

Documents Required :
1) Self Attested Copies of Father+Mother Passport ( With Originals )
2) Self Attested Birth Certificate of Minor
3) Passport size photograph
4) Passport Receipt Form
5) Annexure D

First of all, there is no direct walkin service at PSK, Ghaziabad for Minors, so we had to book the appointment and went on time. We entered and on the very first counter, he checked our initial documents, placed them in the file and asked us to go inside. We went inside and waited for about 15 mins max and our name was announced. For Minors, PSK give a token number starting from “S” which is a special case, so everywhere your token number will be treated on priority. And thats what happened, just when we were finished from Counter A ( max 10 mins ), our token number blinked for Counter B and then in next 2 mins, for Counter C. We were out in max 30 minutes.
It was such a great service there and we were highly delighted. Thanks PSK and Thanks TCS for such a great process.

    • Having spouse name endorsed is required, if parents have passports. So, at least one of your passports have to be endorsed. The good part is you can do both applying to re-issue for endorsement of spouse name and your kids passport on the same day…

    First of all thank you for the post.
    My spouse name is in my passport but my name is not mentioned in her passport. Now I want to apply for the passport for my 4 month old child.
    Do we still need to apply for re-issue of my wife passport first to add my name
    OR
    it is not required?

      If one of the names is endorsed in one of the passport that is sufficient. No need to get another passport endorsed.

    I need to apply passport for my new born son.
    Myself and my wife passport have different addresses.
    My son’s birth certificate and my address in passport are the same though.

    • Yes, the birth certificate only matters, the location and addresses does not matter. Also, you need to have either of your passports endorsed with the spouse name. If not, you can do it on the same day and apply for passport.

          You can use your own account. No need to create another one. In fact, you can use one account for creating as many applications as you can for your family.

  5. My name is Mohammed Shahid currently i m working in Oman Muscat. I am trying for Minor baby passport 1 month old. My baby and wife is still in India. So practically, my wife would be the one who will be visiting passport office in person. My wife passport has my name endorsed against spouse name whereas my passport does not have her name. Also, the address in my wife’s passport is not same as that of the address in my passport. The address in my wife passport is what we have in baby’s birth certificate. our Orignal marriage certificate is with me in Oman i brought it to apply for family visa. I went to Indian Embassy in Oman to get Undertaking / Annexure-H letter which same i sent last time for another baby new passport . this time the person from embassy told the rule has been change now no need to that type of documents form here. Your wife can directly apply without this. You just need to send her you passport copy with valid visa copy page. and resident card of oman.

    Kindly advise if this information is correct or i need to send my original certificate to India.

    • As far as I know, that is not correct info. I just checked the document advisor on Passport Website and it clearly tells that the sworn affidavit is mandatory. I suggest you follow the same process you did for your first kid.

    • You should submit the address proof of the actual place where your kid currently lives. Without you, they need to carry sworn affidavit from Indian High Commission and signed annexure H from you.

    I have a typical situation and need your guidance for the same .

    My name and my wife’s name is endorsed in each other’s passports. But challenges are :

    – on my passport the address is that of kolkata which happens to be my permanent address (i am presently in Mumbai though ) .
    – on my wife’s passport the address is that of Delhi (her maternal home ) .
    – our child is born in mumbai and presently we are in mumbai for last 4 years.
    – we now stay on rent in mumbai but in the same address for last 4 years .
    – the Rent agreement is notarized but not registered.

    Now my challenge is that if i apply for my child’s passport in Mumbai then how to prove my present address – i have HP Gas connection on my name with this present Mumbai address so will it work as valid current address proof for my child’s passport application ?

    Will passport office in Mumbai create any issue if they see that addresses on my passport and my wife’s passport is that of Kolkata and Delhi ?

    In this case , as both me and my wife’s names are endorsed in our passports ( however mine is kol address , wife’s delhi address and our current address is Mumbai ) so will police verification will be done in this case ? Somewhere i read that for Minor’s there will be no police verification done if spouse’s passports have mutual endorsements.

    Kindly guide me based on the facts above.

      Your current address proof of gas connection, rental agreement ( whatever you currenty have) should help. You can also carry your bank passbook with current address and photo on it to be safe. NO, they should not create any issues. Address does not matter as long as they are endorsed. Just go to nearest PSK, it should be straightforward. Usually, there is no police verification for minors, if the name is endorsed. But, sometimes there may be police verification, it is up to the discretion of the passport officer. You will need to provide details of two of your contacts in place where you live in Mumbai. If you are in doubt, you can call customer service, they should clarify all your questions.

      Me and my wife are residing in Gujarat and my wife has gone to her parents house for delivery which is in Hyderabad.

      Me and my wife’s passports are issued in Gujarat where we reside and both have spouse name added.

      I have a below query regarding applying for baby’s passport since I don’t want to travel with one month old baby to Gujarat just for passport issuance.

      1 – Is it possible to apply for baby’s passport from Hyderabad given the above scenario ?

        Technically, you can apply, because that’s where your baby has been living since birth and plan to live for few more months. As the spouse names are endorsed, it should be straight forward. You should also carry some sort of address proof that your wife also lives there. There maybe police verification, it is always upto the discretion of the Passport office.

  11. I have to apply for my new born baby passport . My husband name is not written on my passport . Mine address and my husband address are different . We both belong to sonepat . My daughter is born in Gurgaon and now our permanent address is in Gurgaon .
    What docs i need to carry .
    Second my husband is travelling to abroad . Is it mandatary both parents to be present in passport office .

    As my husband name is not in my passport do we need to carry marriage certificate ..

  13. Applying for my 2months baby girl passport. Husband working abroad. Pls guide me. had my passport original, adhar, election card. Maariage Certificate Xerox copy original with Husband. Baby’s birth certificate and photos i have. Husbands passport and adhar xeroz copy signed with sworn affidavits original . N I had annexure d* too.     1. Is it mandatory for both the parents to be present at the Passport Seva Kendra?

    1. I am going to apply for my re-issue of passport which is expired, with addition of my spouse name in new passport. I have the marriage certificate for this. Do i need any other document for endorsing the spouse name.
    2. I will be applying for my kids fresh passport as well. i have the birth certificate of my kid.
    Address in the birth certificate is different than the current address we are staying.
    As, i will be endorsing my spouse name in my passport, does my new passport with spouse name will be enough for my kids passport application including the address mentioned in my passport OR i need to have my wife documents as well, like an address proof on her behalf.
    3. Is it possible that i can apply for my re-issue of passport and my kids passport together. OR is it better to go one by one.

    I have applied for my baby’s passport and my wife’s passport (name ,address change and endorsed my name) on the same day.

    I have my wife’s name added in my passport and also have a marriage certificate.

    The PSK in Pune is asking for a id proof of my wife with name changed after marriage to process my baby’s passport. She currently has all the id proof’s with her maiden name(even her earlier passport).

    Is it necessary to have a mother id proof with name changed after marriage ?

  19. I want to apply Passport for my 6 month old baby. When I am filling details online Aadhar number is mandatory but my son doesn’t have it now.

    Below are the documents I am currently having.
    1) Birth certificate
    2) Address proof(Parent’s Aadhaar card)
    3) Photograph
    4) Annexure H

    Please let me know how to fill online form without Aadhaar card.

    I want to apply for passport for my 2 years old daughter.Neither of us have spouse name endorsed in our passports.Also, my wife’s maiden surname is there in her passport whereas the marriage certificate and the birth certificate of our daughter contains the current surname of my wife.

    Please suggest what needs to be done.Should I go ahead and apply for my daughter’s passport?

    • Rahul,
      I guess, you have to get your wife’s passport fixed first with the new surname, you will need marriage certificate for that. Also, at the same time, she can apply for adding the spouse name as well, so you will fix two things at same time. Technically you should be able to do all these things and also apply for your daughter’s passport on same day, read apply passport without spouse name endorsed . As your case involves two changes,you will need to double check, if the passport office allows these on the same day or not. Just call the customer service.

    I a query regarding my child birth certificate.In birth certificate my full name is not added,i.e middle name is not expelled,neither in my own certificates it is not expelled,but in my passport my middle name expelled,so is there any issue while processing for my child passport.

      To avoid all issues, I suggest that you fix your birth certificate to have your full name and also have the same in passport. It is easy to fix these now, rather than worrying about these later….make sure all the spellings and full name are same across everything.

    I am trying to get passport for my 6 months old baby. my wife’s name is endorsed in my passport.
    my wife’s passport is expired and we applied/scheduled for reissue of her passport(addition of spouse name and change in address ) and baby’s passport for same day.
    now my query is -> only my passport is enough to get baby’s passport ?

    note: we have marriage certificate , birth certificate for baby , address proof and we filled ANNEXURE-H(given my passport and my wife’s Aadhaar details in it ).

      I got my baby’s passport. As my wife’s passport expired,I haven’t updated it in ANNEXURE-H. TCS guy asked me to fill the same with photocopy of first 2 and last two pages of my wife expired passport. thats all!, next day we received the passports of both.

    I am trying to apply a minor passport for my 2 month old. In my case I am currently in US whereas my wife and my baby are still in India. So practically, my wife would be the one who will be visiting passport office in person. My passport has my wife name endorsed against spouse name whereas my wife’s passport does not have mine. Also, the address in my wife’s passport is not same as that of the address in my passport. The address in my passport is what we have in baby’s birth certificate. I have 2 questions

    1. Do I have to apply fresh passport for my wife before applying for my baby? If so, which address should we give in the new passport application of her’s? (If i need to give the address in my passport, then she is not currently living there. So not sure if it would be a problem during police verification)
    2. If my wife need not apply for a renewal to include my name and change the address, can the baby’s passport application proceed with my passport attested photocopy? (Since I am outside country and cannot produce original)

      1. Not required to apply for new passport. It should not be any problem.
      2. Yes, you need to send sworn affidavit and annexure H signed by you by visiting nearest Indian High commission in the country where you live and send the originals to your spouse. You can check your nearest Indian high commission website on the details.

    I visited the New Delhi passport office at Bikaji cama place. The guys there are awesome ! Full friendly staff…. courteous ppl

    One correction to this post…. PLEASE TAKE AN APPOINTMENT FOR MINORS TOO. The staff will will guide you to request the RPO for a walk-in, but to avoid an inconvenience.

      I live in rented house whose rent agreement has been expired.
      Can I use my bank statement as my address proof.

        Yes, you can use the bank passbook with your photo in it. They may ask for secondary proof, if needed…then you may need the rental agreement.

    1) My Full Name is Madhu Sudhana Reddy, but in my Child birth certificate, father Name is mentioned as Madhu Sudhan Reddy (Letter “A” is missing in Sudhana). Is there any issue or i need to re-apply my Child birth certificate for Father Name update? Please clarify

    2) I have only Current Address proof of mine. There is NO current address proof for my Wife. So is my address proof is sufficient for Applying my Baby passport?

    • You need to ask your husband to send sworn affidavit and annexure H signed by him by visiting nearest Indian high commission or embassy. You need to carry these originals and go to passport office along with Marriage certificate to get your name endorsed and then apply for baby passport. Both can be done on the same day.

    I want to apply for child passport.
    My initial in passport and my child birth certificate is different.
    Adress mentioned in both passport (mine and my husband)is different and curently as we residing in new home,current adress is mentioned in birth certificate of child.
    Is there any problem to issue baby’s passport. Pls guide me

      Your initial does not matter. The name on birth certificate is what you will get for your child. If that’s correct, then nothing to worry. Also, the address on passports does not matter. You will need to submit new address proof, if you have moved to different place. There should not be any complications.

    I have taken picture of my 2 week old baby on white background. But how will I know if it will be accepted at the passport office ?

      As long as it is properly taken on white background, it should be fine. Unfortunately, there is no online tool to check that.

    Firstly i must say this site is very informative. I have a query which I need some assistance on.

    I am applying for my sons passport. He is 1 + year. We got the appointment fixed. However, what all documents I need to carry. I know this information is available on the website. Do I need to get attested copies of the passport and birth certificate from a govt office. Also the birth certificate which I have of my son is the one we can get online from the govt website. It is a municipal certified one and has my name, my wife and son. Do I need to get a different one directly from a municipal office ?the copy states it can be used for official purpose.

    Also my wife’s name is endorsed on my passport. Please advice at the earliest.

        I had been to the passport office today. Everything went fine. There is no passport verification required as the passport is for minor. How long does it usually take to get the passport. I had applied for the normal one.

          It should be under a week or max 10 days. Last week, my friends got it in 3 days, just check today the status, it should say passport printed.

      Yes, you can. You will need to have the birth certificate to apply for passport. Getting the birth certificate is the trick, it can take sometimes a month to get it.

    My child’s Date of Birth is September,2016.
    The address on his birth certificate is different from the address on mine and my spouses passport (me and my spouse have same address on passport and both our names are also endorsed on each other’s passport).Address is however of same city .
    1.Do you think having different permanent address on birth certificate of child and on our passports will create an issue?
    2.How do we overcome this in order to avoid hassles of government bodies .

    Need my child’s passport asap.
    Prefer to have address on my child’s passport as the one on our passports .

    Please advise .

      1. Nope, it will NOT. My child’s birth location is completely different on birth certificate from our both passports.
      2. No hassle, it should be very straightforward with the new process.

      The process is very straightforward, just follow above process, you should get the passport in a week or so.

  37. I applied for new passport for my children and my surname is different from my children and wife .
    My all children and my wife surnames are same but PIA rejected our application and not issuing PP for our children Becks of my surname .
    What can I do sir

      Do they match with the birth certificate ? Usually, it is a practice to either use same last name or apply with father’s first name…if not, it can raise questions. If it is not like I mentioned, it may be a better idea to get the certificates corrected first and then re-apply.

      1. You will need to carry baby to passport office, the reason is that they take thumb impression…You will need to carry passport photo as well.
      2. No, it will not be. What is on the birth certificate is what matters. In fact, ours was the same case as yours.

    Below is the scenario with me:
    – Spouse name is not endorsed in either of the passport but we have a marriage certificate. Is that sufficient or should I get the name endorsed first ?
    – Me and my husband’s passport contain different addresses of our hometown however, we are living in a different city where we both work. Now given this, what would suffice as an address proof for my child’s passport and can we have it for my current address where we are living ?
    – Another question is: which office should I apply to; where we are living or the city which is mentioned in our passports i.e. our hometown ?

    Please guide me.

      1. Yes, that should be sufficient to get passport name endorsed and applying to baby passport on the same day.
      2. you have to give the place where your baby resides and provide proof for the same. It does not matter what your passports says.
      3. You should apply in the place where you live.

      Need help on getting passport for my kid. I am currently in USA and wife is in India with the kid.

      My wife passport got my name but not in mine. She got marriage certificate. Please let me know the documents and is that enough if my wife alone with baby can go for passport interview.

        Typically, both the parents need to be there in person. If not, you will need to send a sworn affidavit from any closest Indian High commission to your city in US. You can check the Indian embassy website to get the details on it. Your wife need to carry that same physical copy you send along with Annexure H, which also needs to be signed by you.

      You will need to have either of your passports with spouse name endorsed and then go to nearest high commission of India in US and get a sworn affidavit done and send that original copy to India. Legal guardian in Indian can apply for passport of your child with the original sworn affidavit, Annexure H signed by both of you, including birth certificate. I suggest you check with passport office, if any more details are required.

    I have applied for the re-issue of my passport fot the endoresement of my husband’s name who is an OCI & holder of a Srilankan passport. He is coming to India and after my new passport will come, we want to apply for our baby’s Indian passport by going in person.
    My query is that we can easily submit Annexure H but Annexure H states that we declare hold valid Indian passport while in my case , my Husband holds a Srilankan passport. How do we do the declaration then if both can give consent ?Please suggest.

      I am not sure of the exact process for such cases. it is good idea to call customer service, they can guide you. You can email them as well, check the passort website.

    My wife passport is with spouse name endorsed and it have her maternal address .
    My passport(spouse name not endorsed) and my child’s birth certificate have my native address .

    So while applying which address proof I’ve to give?

      You need to give the address that your child would reside in. The address on your spouse passport does not matter, the only requirement is to have endorsement on at least on of the passport. It is suggested that you carry proof of your current address and give the same as requested by them.

      Just select the lowest in education and occupation as stay home. They do not have anything specific for babies and you need to select something that is basic.
